When you hit the road, whether you're a seasoned trucker or just a casual driver, safety should always be your top priority. In this post, we break down what a DDIR is, and also we'll introduce you to the benefits of going digital with your DDIRs.

What is a Driver's Daily Inspection Report (DDIR)?

A Driver's Daily Inspection Report, often referred to as a DVIR (Driver Vehicle Inspection Report) or a pre-trip inspection, is a document used by commercial drivers to record the results of their daily vehicle inspections. It's a crucial part of maintaining vehicle safety. Here are the steps to maintaining proper inspection reports.

Pre-Trip Inspection

  • Before starting a trip, the driver should conduct a thorough inspection of the vehicle. This inspection includes checking various components and systems to identify any defects or issues that may affect safety or compliance.

Documentation

  • At the beginning of the inspection, the driver should obtain a blank DVIR form. This can be a physical paper form or a digital version on a smartphone or tablet, depending on the preference and technology available.

Vehicle Walkaround

The driver begins by conducting a walkaround inspection of the vehicle. This involves visually inspecting the exterior and interior components.

Key areas to inspect include:

  • Tires and wheels
  • Brakes
  • Lights and signals
  • Mirrors
  • Steering and suspension
  • Fuel and exhaust systems
  • Engine compartment
  • Safety equipment (fire extinguisher, reflective triangles, etc.)

Recording Defects

If the driver identifies any defects, malfunctions, or issues during the inspection, they must record these on the DVIR. This typically includes describing the problem, its location on the vehicle, and its severity.

If no defects are found, the driver should indicate that the vehicle is in good condition by checking the appropriate box on the report.

Post-Trip Inspection (Optional)

After completing the trip, some drivers also perform a post-trip inspection to ensure that no new issues have arisen during the journey. This is not always required but is considered a best practice.

Reporting and Signature

Once the inspection is complete, the driver signs and dates the DVIR to certify that the inspection has been done.

If any defects were identified, the report should be submitted to the motor carrier or fleet manager for review and action. The severity of the defect will determine the course of action, which may involve repairs and re-inspection.

Repairs and Follow-Up

If defects are identified, the motor carrier is responsible for addressing them promptly. Depending on the severity of the defect, repairs may be made immediately or scheduled.

After repairs are completed, the vehicle should be re-inspected to ensure that the issues have been resolved and the vehicle is safe for the road.

Retention and Filing

Completed DVIRs should be retained for a specified period (e.g., three months) in compliance with regulatory requirements. These reports serve as a record of the vehicle's maintenance history and compliance with safety regulations.

Repeat Daily

Commercial drivers should repeat this process daily, both before and after each trip, as mandated by regulations. This consistent practice helps ensure the ongoing safety and roadworthiness of the vehicle.
